Canva: Templates & Grid Strategy

Free plan works great. Use it for static posts and carousel graphics.

First-time setup
1
Create your free account

Go to canva.com or download the app. Free plan has everything you need.

2
Set up your Brand Kit

Brand Hub → Brand Kit. Add your logo, hex colours, and 2 fonts. Every template will auto-match your brand.
💡 Don't know your hex codes? Upload your logo to canva.com/colors/color-palette-generator.

3
Pick ONE template and stick to it

Search "Instagram Post". Pick one layout and don't change fonts, colours, or layout. Only swap image and text each week.
🔥 Bold text-over-image layouts get saved and shared more than plain photo posts.

4
Duplicate, don't rebuild

Three dots → Duplicate Page. Change the image and headline. Never start from a blank canvas. Batch 4–6 at once on Sunday.

5
Use a Frame to drop photos in

Elements → Frames. Drag your photo into the frame. It crops automatically. Lock the frame so it never moves between slides.
💡 Lock the frame size and position so it never moves.

6
Add a bottom border with the theme title

Solid colour bar at the bottom of every carousel slide. Put the topic text on top. Same colour, same font, same position, every time.
🔥 This is the one design element that makes carousels look professional.

Grid strategy
7
Use carousels to control your grid

IG shows the first image on your grid. Want a fresh look? Edit the post, drag a different image to the front. Grid looks updated, zero new content.
💡 Do this with your top 3 carousels every 3–4 weeks.

8
Reel cover: pick it inside Instagram

When uploading a Reel → Cover → Choose from video. Scrub to a moment with bold caption text on screen. No extra Canva step needed.
🔥 A strong one-liner from your Captions overlay is more authentic than a designed cover slide.

9
Alternate light & dark backgrounds

Create two template versions (one light, one dark) and alternate weekly. Your grid naturally looks curated with zero extra effort.
🔥 Even easier: create two versions of your template and alternate them every week.

💬

Captions App: Voice AI & Audio Cleanup

Use this first on every video before going into Edits.

Set up your Voice AI (once)
1
Clone your voice

Captions → profile icon → Voice Clone. Record 30–60 seconds of yourself speaking naturally. The app learns your voice for AI voiceover.
💡 Record in a quiet room. Speak naturally. Don't perform it.

2
Pick a caption style and save as default

Tap any video → Captions → Style. Choose a preset. Three dots → Set as Default so you never re-pick it.

Recommended caption style for your brand
Removing silences & cleaning audio
3
Auto-remove silences

Edit → Clean Audio → Remove Silences. Set threshold to 0.4–0.6 seconds. Removes dead air without sounding choppy.
💡 If words overlap or it sounds robotic, increase the threshold to 0.8s.

4
Manual gap removal (for tight edits)

Edit Captions → tap a gap between words → Delete Gap. Only use this when you want a very fast-paced feel. Auto-silence is enough for most videos.
🔥 Mainly use auto-remove. Only go manual when you want it really tight.

5
Fix audio issues

Edit → Enhance Voice. Reduces background noise and brings your voice forward. Auto-levels volume. Always do this step.

6
Export settings

Export → 1080p → Export without watermark. Save to camera roll. Now take this into Edits to add music.

🎵

Edits: Music, Polish & Final Export

Use Edits after Captions. This is where you add trending audio and export for IG.

Your editing workflow in Edits
1
Import your Captions export

Edits → New Project → import from camera roll. Select the video you exported from Captions. All your captions and cleaned audio carry over.

2
Add trending music: key for the IG algorithm

Music icon → Trending. Look for tracks with an upward arrow: rising, not peaked. IG pushes Reels that use rising audio to the Explore page.
💡 Save audio from IG: find a Reel you like → tap the audio name → Save audio. Pull it into Edits from your saved sounds.

3
Set music volume correctly

Tap the music track → Volume → set to 10–20%. Your voice should be clearly louder than the music. If you're doing a trending audio with no talking, set to 100%.

4
Extra silence removal (optional)

Edit → Auto-Cut → Remove Silences. Use sparingly. Only for super fast, high-energy edits. Most conversational content doesn't need this.

5
Quick colour fix

Adjust → bump Brightness up 5–10 points and Contrast up 5. Makes your video look more intentional. Don't over-filter. Natural beats obviously edited.

6
Export for Instagram

Export → 1080×1920 (vertical) → 30fps → High quality. This is the format IG was built for.
🔥 Always export at the highest setting. IG re-compresses everything. Give it the best file to work with.

📅

Plann: Batch Scheduling & Reusing Content

Plan and schedule your whole week in one sitting. Never post in the moment again.

Choose your scheduler first
A
SocialPilot (from $25/mo)

Supports bulk carousel upload, and it's required if you work with me on Done 4 U. We set it up together during onboarding. The weekly batching rhythm below works the same way in SocialPilot.

B
Plann

A fine option if you already pay for Linktree premium, but it cannot bulk upload carousels. The steps below walk you through Plann end to end.

First-time setup
1
Connect your Instagram account

Download Plann → Connect Account → log in to Instagram. Plann is an official Meta partner. This is safe and IG-approved.

2
Find your best posting times

Analytics → Best Times to Post. Plann pulls from your actual account data. Use those times, not generic Google advice.
💡 Most accounts peak around 7–9am, 12–1pm, and 6–8pm on weekdays. But check your own data first.

Batch scheduling: do this once a week
3
Upload all your content for the week at once

Schedule → + → upload your video or image. Write caption, add hashtags, set date and time. Repeat for all 7 posts. Your week is covered.

4
Preview your grid before posting

Tap Grid Preview. You'll see exactly what your IG profile will look like after each post. Rearrange if two similar images will be side by side. Takes 30 seconds.

5
Reuse old content: this is underused and it works

Media Library → find a carousel from 6–12 months ago → Reschedule. Edit the IG post to drag a different image to the front so it looks fresh.
🔥 90%+ of your followers never saw any given post. Reusing every 3–4 months is smart, not lazy.

6
Use Plann's hashtag manager

Hashtag Manager → create 3–4 saved sets for your main content categories. Tap Insert Set when scheduling. Never type hashtags from scratch again.

Linktree: Your Bio Link Hub

One link in your bio that goes to everything. Free plan is all you need.

Setup (takes 10 minutes)
1
Create your account

linktr.ee → Sign up free. Use your exact IG handle (@yourbusiness) as your Linktree username so it's consistent and easy to remember.

2
Add your links in this exact order

Order matters. Most people only tap the first 1–2 links.

  1. Book / Shop / Contact: your #1 money-making action
  2. Your current offer or promotion
  3. Most popular service or product
  4. Social proof: reviews or portfolio
  5. Instagram / TikTok: for people finding you elsewhere
3
Match your profile photo to your IG

Use the exact same profile photo across Linktree, IG, and every platform. Consistency builds trust. People immediately know they're in the right place.

4
Update your Instagram bio

IG profile → Edit Profile. End your bio with "👇 Link in bio". In the Website field, paste linktr.ee/yourbusiness.
💡 Update your Linktree top link monthly. Keep it fresh with whatever you're currently promoting.

Your Weekly Content Routine

This is your repeatable system. Same flow, every week. Once you do it 3 times it takes under 2 hours total.

The more times you run this, the faster it gets. By week 6 you'll be batching a full week in under 90 minutes.

Weekly checklist: tap to check off

When you feel stuck: the 60-second fix

💡 Pick one, hit record, talk for 60–90 seconds. That's your Reel.
Batch Content with Claude Code
How to generate 30 posts at once (captions, CTAs, hashtags, and carousel PNGs) using AI that already knows your brand.
What is Claude Code?

Claude Code is an AI tool from Anthropic that can write, design, and build things for you in real time. Think of it like having a content assistant who can create an entire month of posts in a single conversation: captions, hashtags, CTAs, and even the visual carousel images as PNG files.

It's available as a desktop app (Mac/Windows), a web app at claude.ai/code, and as a CLI tool in the terminal. The desktop app is the easiest way to start.

You'll need: A Claude account (Pro plan recommended, $20/month) and the Claude Code desktop app or access to claude.ai/code.

Step 1: Set Up Your Project Folder

Create a folder on your computer for your content. Example:

my-content/ ├── brand-info.txt (your brand voice, audience, offers) ├── captions/ (where captions will be saved) └── carousels/ (where carousel images will go) └── exports/ (final PNG files)

Create a brand-info.txt file with your business name, what you do, who your audience is, your offers/pricing, your tone of voice, and any CTAs you want to use. This is what Claude will reference for every post it creates.

Step 2: Generate 30 Captions at Once

Open Claude Code in your project folder and give it a prompt like this:

Read my brand-info.txt file. Then write 30 Instagram captions for the next 30 days. For each caption include: - A hook in the first line (this is what shows before "...more") - 3-6 sentences of value, story, or proof - A CTA at the end (rotate between: "comment [KEYWORD] below and I'll send you the link", "save this for later", "share this with someone who needs it", and "DM me [KEYWORD] for the link") - 5-8 relevant hashtags at the end Mix these content types evenly across the 30 days: - Authority (hot takes, myth-busting) - Teaching (tips, how-tos, step-by-step) - Relational (personal story, real talk) - System Proof (results, client wins, screenshots) - Conversion (offer spotlight, deal breakdown, urgency) Write in my brand voice: direct, no-BS, conversational. No emojis unless they're earned. No corporate speak. Save all 30 captions to a file called captions/all-captions.md with each day numbered.

Claude will read your brand file, generate all 30 captions in your voice, and save them to a markdown file you can copy from. It takes about 2-3 minutes.

Step 3: Generate Carousel Images as PNGs

This is where it gets powerful. Claude can create branded carousel slides as HTML files, then export them as PNG images. Here's the prompt:

Now create Instagram carousel designs for each of the 30 posts. Each carousel should be 5-7 slides at 1080x1350px (Instagram portrait). My brand style: - Background: [your hex color, e.g. #0a0a0a] - Accent color: [your accent, e.g. #d6ff3f] - Text: white, bold headlines - Font: clean sans-serif - Style: high contrast, text-forward, no stock photos For each carousel: 1. Slide 1 = bold hook statement (matches the caption hook) 2. Slides 2-5 = the content broken into digestible slides 3. Last slide = CTA with your offer or engagement ask Create each carousel as an HTML file in carousels/ folder. Then export every slide as a PNG to carousels/exports/, organized by day number. Name them: day01-slide1.png, day01-slide2.png, etc.

Claude will create the HTML files with your exact brand styling, open them in a headless browser, and screenshot each slide as a PNG. You end up with 150-200 ready-to-post carousel images.

Pro tip: If you have an existing carousel you love, tell Claude "match the style of this file" and point it at the HTML. It'll reverse-engineer your design system.

Step 4: Schedule Everything

Once your captions and PNGs are exported:

  1. Open Plann (or your scheduler of choice)
  2. Upload your carousel PNGs for each day
  3. Copy-paste the matching caption from your captions file
  4. Set your posting time and toggle on auto-post
  5. Repeat for all 30 days, or ask Claude to help you schedule them if your tool has an API

Total time: About 30-45 minutes for an entire month of carousel content: captions, designs, hashtags, and CTAs. What used to take days now takes one afternoon.

Tips for Better Results
  • Be specific about your voice. "Direct, no-BS, like texting a smart friend" works better than "professional but approachable."
  • Give examples. Paste 2-3 of your best-performing captions into brand-info.txt so Claude can match your actual style.
  • Iterate on one before batching. Ask Claude to write Day 1 first. If the tone is off, give feedback ("less salesy", "shorter sentences", "more personality"). Once Day 1 is perfect, say "now do the other 29 in this same style."
  • Use your FTA brand voice. If you've already set up your profile in this portal, copy your brand voice description into the brand-info.txt file. That's your foundation.
  • Ask for variations. "Give me 3 versions of the CTA slide: one direct, one playful, one urgent" lets you pick the best one.
  • Add a ManyChat keyword. If your CTA is "comment KEYWORD below," you can set up a ManyChat automation to auto-DM the link when someone comments. One-time setup, works forever.
Ready to try it?

Get Claude Code at claude.ai/code. Then open it in your content folder and start with the prompts above. You'll have a month of content before dinner.

Batch Studio PRO

A full month of branded carousel posts, generated in one run: designed slides in your brand, captions in your voice, built around your calendar. Pro includes 2 batch runs per month.

Set up your profile first

Each keyword can be wired to its own ManyChat auto-DM. About half your posts use a keyword CTA and Batch Studio rotates through your list. Leave empty to use engagement and link-in-bio CTAs only.

Or paste direct image URLs

Batch Studio organizes your photos into shoots and assigns one shoot per day so slides never mix shoots. Aim for 12+ photos. No photos? Slides use your brand colors instead.

Photo prep: use JPG or PNG (HEIC files are skipped; iPhone fix: Settings > Camera > Formats > Most Compatible). Keep one photoshoot per folder so each day stays cohesive. Heads up: the AI may pass on photos with a lot of exposed skin; if a day comes back photo-light, swap in an alternate. It is a platform rule, not a judgment.

Saved with this business so Batch Studio gets it right the first time, every time.

Aa

Type your real brand fonts, straight from your Canva Brand Kit page. Google Fonts load exactly. Canva-licensed fonts (like The Seasons or TAN Garland) cannot be embedded outside Canva, so Batch Studio swaps in the closest free lookalike automatically and your accent color still leads. Your accent color always wins over the aesthetic default.

Type next to any day, or paste lines like "12: Flash sale starts" below. Days with events get posts built around them.
